What is a CMMS? (and why plants outgrow spreadsheets)

A CMMS (Computerized Maintenance Management System) is software that organizes maintenance work around assets — work orders, preventive maintenance schedules, spare parts, and history — so plants stop relying on chats and spreadsheets. In manufacturing, a CMMS earns its keep when failures land on the machine, PM becomes owned jobs inside real production windows, and parts and history stay with the asset for the next shift. It is an execution system for the floor, not a generic facilities to-do list.

CMMS definition in one paragraph

A CMMS (Computerized Maintenance Management System) is software that turns maintenance into owned work on assets. Instead of “someone fix line 3” living in a group chat, the plant records the fault, assigns an owner, schedules preventive work, tracks spare parts, and keeps history where the next shift can find it.

For manufacturing, that definition is practical: the CMMS should make work orders, PM, parts, and asset history share the same machine identity. If those pieces stay in separate sheets, you do not have a maintenance system of record — you have more files.

What a CMMS typically includes

Most manufacturing-ready CMMS products cover the same core loop:

  • Asset register — machines, lines, and locations you maintain
  • Work orders — reactive and planned jobs with ownership, status, and notes
  • Preventive maintenance — time- or usage-based tasks that convert into work when due
  • Inventory / spare parts — critical parts linked to the assets that consume them
  • History and reporting — what failed, what was done, how long it took, what parts were used

Optional layers (vendors, meters, mobile photos, multi-plant) matter after the floor loop works. If technicians will not claim and complete work in the system, dashboards will not save you.

Three tools get confused in buyer conversations:

Who uses a CMMS in a plant

A useful CMMS has more than one audience:

  • Maintenance managers / planners — backlog, PM compliance, parts readiness, weekly review
  • Technicians — claim work, record what was done, log parts, hand off cleanly
  • Operators / production — report faults with enough detail for maintenance to act
  • Leadership — downtime and reliability trends without waiting for end-of-month reconstruction

What “good” looks like on the floor

A CMMS is working when the floor loop is boring and repeatable:

  1. A stop or fault is reported on the asset, not only in chat.
  2. Someone claims the work and starts it with a timestamp.
  3. Parts and notes are recorded where the next person can see them.
  4. Work is completed with enough detail to prevent a full re-diagnosis.
  5. Due PM is visible and convertible into owned jobs inside real production windows.
  6. Weekly review looks at repeat assets and overdue work, not a decorative dashboard.

“Good” is not a perfect asset register on day one. It is durable history on the machines that stop you.

Common misconceptions

“A CMMS means more paperwork.” Paperwork is what you have today in chats and binders. A CMMS replaces scattered notes with one owned record — if fields stay short and floor-usable.

“We need EAM (or MES) first.” Enterprise suites solve different problems. Most mid-sized plants need work-order and PM discipline before heavy lifecycle or process-control scope.

“We’ll adopt after the asset list is perfect.” Waiting for perfect data is how spreadsheet habits harden. Commission critical assets, open live work orders, enrich the register as you go.

“CMMS = predictive maintenance.” Predictive programs need a place for alerts to become owned work. Stabilize reactive capture and preventive execution first.

When to adopt a CMMS

Adopt (or replace spreadsheets) when any of these are true:

  • Repeat failures get “solved” again every shift because history disappears
  • PM exists as a calendar or binder nobody can prove was finished
  • Spare parts are guessed under pressure
  • Adding technicians creates more coordination chaos than coverage
  • Downtime cost debates use anecdotes instead of asset-level events

Start with the noisiest line or asset family, not a plant-wide perfection project. Import critical assets, invite the crew, and make work orders the system of record for open work. Expand PM and inventory once the loop sticks.
